COVID-19 Face-to-face Tuition Health & Safety Guidance

Ivy Education is here to provide support to clients and tutors in what is a uniquely challenging time as we return from online tuition to face to face tuition. Our goal is to ensure that risks are minimised by implementing safeguarding measures and by following the latest government guidance; this will help to ensure the wellbeing of everyone concerned.

Clients and tutors are requested to keep the office informed about any queries or concerns at the earliest opportunity. The guidance which follows aims to ensure that everyone is as safe as possible; however, the government guidance changes regularly, and the points below may be amended if new guidance is issued.

Guidance for our clients

Prior to starting a new or recommencing an existing face to face service the below must be confirmed by the client in response to Ivy Education:

  • All members of the client’s household have been symptom free for at least 28 days
  • If anyone in a tutor’s or client’s household develops any symptoms of Covid-19, such as a new continuous cough, a high temperature of 37.8°C or more or a loss of smell/taste, Ivy Education must be informed immediately if face to face tuition has been taking place.
  • Any face to face tutoring sessions will be cancelled immediately or changed to online tutoring sessions, and the tutor or (as the case may be) client must inform Ivy Education.
  • The tutor will remain at home and refrain from providing any face to face tutoring for a minimum of 7 days (if the tutor is unwell) or 14 days if someone in the household experiences symptoms.
  • Before returning to face to face tuition work after suspected Covid-19 or exposure to someone with Covid-19, the relevant tutor(s) and client(s) will be required to obtain a Covid-19 test, which must be negative for the virus. In the meantime, online tuition can continue regardless.
  • Ivy Education must be notified immediately if anyone in the client’s household exhibits any symptoms or is known to have been in contact with an infected person, if you have been having or intend to have face to face tuition.
  • Any adults required to be present during the tuition and/or consultancy, will maintain social distancing according to the latest government guidance.
  • The client will provide a suitable workspace in a well-ventilated room which will be cleaned thoroughly immediately before each session.
  • Before beginning or resuming face-to-face tutoring, the client will review and implement the following safety measures:
  • Surfaces in the room used for tutoring must be cleaned thoroughly before each session takes place and the room must be well ventilated.
  • Contact with any other members of the household must be kept to a minimum and follow the latest guidance on social distancing.
  • Tutees must have their own pens, pencils, and other equipment and, if anything specific is required for a lesson, the tutor will give notice to the family in advance.
  • Explain that tissues must be available for use in the room.
  • The tutor will be able to wash their hands with soap and water for at least 20 seconds or use a sanitising gel and arrival and on completion of the tuition session.
  • When arriving at the family home, any face mask will be disposed of (or put away if using a reusable mask)
  • Facemasks are not mandatory. However, tutors may wear them if they wish and clients may request that the tutor and tutee wear a mask.
  • The tutor will be able to sit as far away from the tutee as possible without affecting the quality of the lesson. This may be less than two metres in accordance with government guidelines.
  • Client to make hand sanitiser available on entry to toilet and ensure suitable handwashing facilities (such as liquid soap and disposable paper towels) are available
  • If possible, the tutor will avoid using public transport to travel to the client.

Cancellation Policy

Where possible and reasonable we kindly ask that make us aware of a cancellation at least 48 hours prior to a service taking place, in line with our terms and conditions.

Guidance for our tutors

  • Where possible the tutor will have two copies of written resources: one for the tutor and one for the tutee to use.
  • If possible, tutees will be requested to submit any work electronically and work will be marked in the same manner.
  • Tutors will have their own bottle of water and will not accept any food or beverages within the tutee’s home
  • If possible, the tutor will avoid using public transport to travel to the client.
